$99 Single or Double in the Lodge. $119 Single or Double in the Hotel. Reservations must be made by April 1st to guarantee conference rates.


Important Dates

Exhibit Booths:
By November 15

Early-Bird booth reservation due (Vendor).
Only exhibitors who reserve by this date will be assigned booths before November 15. All others will be assigned in the order received beginning December 15th.

By December 15th
All booth reservations and final payments due.

Advertising:
By November 15th
Advertising reservations require a 50% deposit. Full payment is due December 15th.

After November 15:
Advertising reservations require payment in full.

By December 15:
All advertisements must be received and paid in full.

Agreements set by this date will be acknowledged in the Preliminary Program, Winter issues of NHLA newsletter, the NHEMA newsletter and the Conference Program.

Special consideration for NHLC Sponsors! Between now and November 4th, 2006, only reservations with deposits from active vendors will be processed. Beginning November 4th, reservations will be processed in the order received. Every effort will be made to honor first-choice locations for platinum and gold level sponsors, but preferred booths are not guaranteed. Requests without a deposit will not be honored until payment is received.

Booth Specifications

Each booth includes:
8' high back wall
3' high side rails
6' table with linen
2 chairs
1 wastebasket
1 Exhibitor ID sign (7" x 44")

Electrical connections are complimentary for each exhibitor the booth fee includes one standard outlet (110 volt - 15 amp) not duplex per day. Internet service is available for $39.95; this may go down if more than 10 exhibitors require internet service.

Shipping Arrangements
All arrangements for shipping and receiving booth materials must be handled by the exhibitor. Details on shipping will be included in the exhibitor’s packet. All boxes/crates must be sent directly to Mt. Washington by prior arrangement. All other shipments are at the exhibitor’s risk.

Rules and Regulations

  1. NHLC reserves the right to modify as necessary Exhibit Hall hours and events to meet program and conference needs.
  2. The exhibitor must handle all necessary arrangements for shipping and receiving booth materials.
  3. Booths must be staffed during Exhibit Hall hours.
  4. Exhibits must not project beyond the space allowed, or obstruct the view of other exhibitors. Noise levels must not interfere with neighboring exhibits.
  5. Each exhibitor must wear an official exhibitor’s badge to gain admission to conference programs and events. Badges cannot be exchanged among representatives.
  6. Free-standing booths must fit the dimensions of Exhibit Hall booths.
  7. Floor Plan: NHLC retains the right to modify the floor plan to the extent necessary for the best interest of NHLC and the Exhibit Hall.
  8. Booth Installation and Dismantling: Each exhibitor will install his/her exhibit. Installation may begin May16th, at 3:30 pm and must be completed by 7:00 pm. Any space not occupied and set up by 7:00 pm may be cancelled or reassigned without refund by NHLC. Dismantling of booths begins at 1:30 PM Friday. All materials must be completely removed from the Exhibit Hall by 3 PM that afternoon. NHLC is not responsible for materials left in the Exhibit Hall.
  9. Subletting Space: An exhibitor may not assign, sublet, or apportion all or any part of the space allotted to him/her. Any materials other than those manufactured or distributed by the exhibitor in the regular course of business may not be displayed by the exhibitor or be allowed by the exhibitor to be displayed by other persons or firms.
  10. Security: The Exhibit Hall will be located in the Mt. Washington Hotel. Neither NHLC nor Mt. Washington can guarantee exhibitors against loss.
  11. Liability: Neither NHLC, nor the Mt. Washington, nor any officer or staff member thereof, will be liable for damage or loss by fire, accident, theft, or any other cause. The exhibitor assumes full responsibility and liability for all injury to any persons or property caused by the exhibitor or in any way related to the exhibitor’s display.
  12. Meeting & Booth Cancellations: In the event that the NHLC Exhibit Hall is cancelled due to fire, strikes, government actions, or other causes beyond NHLC’s control, NHLC shall not be held liable for failure to hold the Annual Meeting and Exhibit Hall. NHLC will determine the amount of the exhibitor fees to be refunded, if any. Booth cancellations must be in writing. If received prior to January 31, there will be an 80% refund. Cancellations after this date will not be refunded unless a fully paid substitution is secured, at which point an 80% refund will be granted.
  13. Destruction of Property: Nothing shall be posted on, tacked, nailed, screwed, taped, stapled, or otherwise attached to ceilings, columns, walls, floors, painted surfaces, or other parts of the building or furniture. No holes may be drilled, cored, or punched in the building. All property destroyed or damaged by an exhibitor must be replaced in original condition by the exhibitor at the exhibitor’s expense.

Cancellations

Booth cancellations must be in writing.

By January 31:
80% refund of payment.

After January 31:
Cancellations after this date will not be refunded unless a fully paid substitution is secured, at which point an 80% refund will be granted.

In the event that the NHLC Exhibit Hall is cancelled due to fire, strikes, government actions, or other causes beyond NHLC’s control, NHLC shall not be held liable for failure to hold the Annual Meeting and Exhibit Hall. Advertisement Specifications & Deadline:
The program book is black ink on white paper. All ads must be received by January 15, 2007. Ads should be submitted as a .tif, .eps or .pdf file formatted for a PC. Files must be at a resolution of 300 dpi at full size. No bleeds. You must include a proof of the ad.
